Terms & conditions.

The rules and small print that come with trading at a Tor Collective market. Booking a pitch means agreeing to everything below.

1. Booking & payment

How a pitch is reserved.

  1. Acceptance. A booking is only confirmed once payment has cleared in full. Adding a pitch to your basket reserves it for 15 minutes only. If you haven't checked out within that window, the pitch is released back to other traders.
  2. Pitch allocation. You choose your own pitch from the table plan when you book. If we ever need to move you to a different pitch (something we don't like doing, but reserve the right to do where it's necessary for the line-up, access, or venue rules), you'll be told your final pitch number in the stallholder set-up information email sent before the market.
  3. No subletting. Pitches are non-transferable. You may not sublet, share or pass on your pitch to another trader without prior written approval from the organisers.
  4. Right to refuse. The organisers reserve the right to refuse or cancel any booking at our discretion, including (without limitation) where documents are missing, where prior conduct warrants it, or where the goods on offer are unsuitable for the venue.
2. Cancellation policy

Plans change, here's how it works.

Cancellations are managed directly through your trader dashboard, not by email.

  1. Transfers. Moving your booking to a different date is not treated as a cancellation. If you transfer to a more expensive pitch, you pay the difference. If you transfer to a cheaper pitch, the difference is refunded as store credit only, not back to the original payment method.
  2. Force majeure. Where a market is cancelled, postponed or curtailed because of weather, venue closure, public health restrictions or any other event beyond our reasonable control, refunds are not issued. We recommend appropriate insurance.
3. Documents & insurance

What you must hold, and upload.

The following documents must be valid before market day and uploaded in your trader dashboard. We'll email you a reminder before anything expires.

  1. Public Liability Insurance. Every trader must hold valid Public Liability Insurance with a minimum of £5,000,000 (five million pounds) cover for the date(s) you are trading.
  2. Food hygiene certificate. Traders selling food or drink for consumption must hold a current and valid Level 2 (or higher) food hygiene certificate and comply with all food-safety and allergen-labelling requirements.
  3. Risk assessment. If you trade with gas bottles, generators, naked flames, hot oil, electrical equipment or anything else that warrants one, you must complete and upload a current risk assessment before booking.
  4. PAT testing. All portable electrical equipment used on a pitch must be PAT tested where applicable, and certificates must be available on the day.
  5. Right to inspect. The organisers may ask to see any of the above documents at any time. Failure to produce them on request may result in you being asked to leave the market without a refund.
4. On-site rules

Set-up, trading and pack-up.

  1. Set-up times. All traders must be fully set up between the published set-up window and the public opening time. Set-up windows vary by pitch location, see the stallholder info page.
  2. Pack-up. Pack-up begins at the published market close time, not before. Vehicles may only return to loading areas once it's safe to do so and at the direction of organisers in high-viz.
  3. Gazebos & weights. Outside traders must supply their own 3 × 3 gazebo (unless agreed otherwise) and bring sufficient weights to secure it. Un-weighted gazebos may be ordered down at the organisers' discretion.
  4. Tables & chairs. Tables and chairs are provided inside the church. Outside and town pitches must bring their own.
  5. Prohibited items inside the church. To keep a respectful environment, traders inside the church or in its grounds may not display witch imagery, tarot cards or any reader-related items. These restrictions do not apply to town / High Street pitches.
  6. Leave it clean. Pitches must be left clean and clear of rubbish at the end of the day. Damage to venue property, fixtures or surfaces is the responsibility of the trader.
  7. Venue rules. You must comply with all venue and local-authority rules in force on the day, including (without limitation) parking, smoking/vaping restrictions, noise limits and fire-safety requirements.
5. Goods & conduct

What you sell, and how you behave.

  1. Lawful goods only. You may only sell goods you are legally entitled to sell. No counterfeit, stolen, illegal or unsafe goods. Age-restricted goods (e.g. knives, alcohol) must be handled in compliance with the law, including age verification.
  2. Honest pricing. Prices must be clearly displayed and accurate. Misleading claims about provenance, materials or makers will not be tolerated.
  3. Abuse not tolerated. Abuse, threats or harassment towards any stallholder, member of the public, organiser, venue staff, volunteer or anyone employed by the Tor Collective will not be tolerated. Abusive behaviour will lead to immediate removal from the market without refund and may trigger the disciplinary process.
  4. Trust the process. Market managers must be able to do their job without abuse. We make calls every market on pitch placement, line-up, set-up timing, gas and electrical safety, prohibited items, weather, and other day-to-day decisions, and we won't always agree with every trader on every one. Disagreement is fine, and we welcome feedback, but raised voices, threats or personal attacks aimed at a manager because you don't like a decision will be treated as abuse and dealt with under the disciplinary process. We love what we do, and the market's best interests sit at the front of every decision we make, so please trust the process.
  5. Respect for volunteers. Volunteers help these markets run, give their time freely, and should be treated with the utmost respect. A thank you goes a long way.
  6. Professional manner. The market is a workplace and must be treated as such. That includes attire, language, alcohol use and the way you engage with other traders, customers and the team.
6. How we work

How we work together.

  1. Promoting the market. The organisers make the final decisions, but when it comes to running the markets, promoting them is everyone's responsibility. Sharing dates, tagging us on socials and inviting your customers benefits your business as well as the market as a whole.
  2. Competition law. We work within competition law. Anyone can apply for a stall unless there are restrictions from the venue. We won't artificially limit categories to favour one trader over another, we'd rather help and support new traders, we were all new once.
  3. Photography and social media. By trading with us, you agree that we may take photographs and short video at the market for promotional use across our website, newsletter and social channels. If you'd rather not appear in any image, please let an organiser know on the day.
  4. Use of the Tor Collective name. You may say that you trade at Tor Collective markets and tag us in your own posts. You may not use the Tor Collective name or logo to imply sponsorship, endorsement or partnership without prior written permission.
7. Liability

Who is responsible for what.

  1. Your stock and equipment. You are responsible for your own stock, gazebo, equipment, takings and personal belongings at all times. The Tor Collective accepts no responsibility for any loss, theft or damage to trader property, however caused. If something does happen, we'll support you in any way we can.
  2. Public-facing liability. You are responsible for the safety of your own pitch, including any goods you sell and any equipment you bring on site. Your Public Liability Insurance must cover claims arising from your activity at our markets.
  3. Our liability. To the extent permitted by law, the Tor Collective's liability to you is limited to the value of the pitch fees you have paid for the affected market. Nothing in these terms limits liability for death, personal injury caused by negligence, or fraud.
  4. Indemnity. You agree to indemnify the Tor Collective against any claim brought by a third party arising from your acts, omissions or breach of these terms.
8. Your data

How we look after your information.

  1. What we hold. We hold the contact details, business information and documents you submit through the trader dashboard, plus the booking history, payment references and any messages you exchange with us.
  2. What we use it for. We use this information to manage your bookings, process payments and refunds, contact you about market logistics and your waiting-list alerts, and meet our legal and tax obligations. We do not sell trader data to third parties.
  3. How long we keep it. Booking, accounting and insurance-related records are kept for the periods required by UK law. Other data is kept only as long as we need it for the purposes set out above.
  4. Your rights. You can access, correct or request deletion of your personal data by contacting us at thetorcollective@gmail.com.
9. Cookies

What we store on your device.

Cookies are small text files that websites place on your device to remember things between page loads. We keep ours to the minimum needed to make the site work.

  1. Essential cookies. Required for the site to function. These hold your session, keep your basket together while you check out, and protect forms against cross-site request forgery (CSRF). Without them, booking a pitch and signing into your trader dashboard wouldn't work.
  2. Functional cookies. Remember basic preferences such as that you've dismissed a notice or accepted this cookie notice. They aren't used to identify you.
  3. Analytics & advertising. We don't run third-party advertising trackers on this site. If we add anonymised analytics in future to understand which pages are most useful, we'll list the provider here and update the cookie notice.
  4. Managing cookies. You can clear or block cookies through your browser settings, but blocking essential cookies will stop the booking flow from working. Most browsers let you view and remove cookies for a specific site, see your browser's help pages for instructions.

10. Disciplinary process

If something goes wrong.

Where a trader breaches these terms, the following process applies. The organisers may skip stages where the breach is serious enough to warrant it.

Stage 1

Verbal warning

Valid for 12 months from the date issued.

Stage 2

Second warning

Also valid for 12 months. Issued where a verbal warning has not been acted on.

Stage 3

6-month event ban

Followed by a 6-month written warning on return. Any further breach in that window may result in a further limited or lifetime ban.

Stage 4

Lifetime ban

For the most serious or repeated breaches. May be appealed under the process below.

Appeals

A lifetime ban may be appealed in writing. An appeal involves a meeting with the organisers where the matter is discussed calmly and constructively. A minimum of 30 days must have elapsed since the ban so that tempers and emotions have cooled.

11. Governing law

The legal bit.

  1. Governing law & jurisdiction. These terms are governed by the law of England & Wales. The courts of England & Wales have exclusive jurisdiction over any dispute arising under them.
  2. Variation. We may update these terms from time to time. The current version is always published on this page. Continued use of our booking system after an update constitutes acceptance of the revised terms.
  3. Severability. If any provision of these terms is held to be invalid or unenforceable, the remaining provisions continue in full force.
  4. Entire agreement. These terms, together with the cancellation policy and the stallholder information page referenced above, form the entire agreement between you and the Tor Collective in relation to your trading with us.
